Choosing how to answer calls

AI receptionist, voicemail or a phone menu?

These tools handle different parts of a telephone call. Start with what a customer needs when your team cannot answer, then choose the simplest setup that covers it.

  • Compare the caller experience
  • Choose a narrow task
  • Plan a human fallback

Voicemail is a clear way to ask for a message.

A greeting tells the caller what to leave and when to expect a response. Voicemail works well when most callers need a callback and your team can reliably review messages.

It does not answer follow-up questions or decide whether the caller needs a particular person. The quality of the greeting and the callback process matter more than adding extra menu choices.

A phone menu follows choices you define.

A menu can ask the caller to press a key for a team or service. It is predictable and useful when customers can identify the right option without help.

Keep choices short and provide a fallback for callers who do not choose. More options do not automatically make a business easier to reach.

An AI telephone assistant handles conversation.

An AI receptionist can ask what a caller needs, respond using approved business information and collect a structured message. It may help when callers ask the same questions or are unsure which team to contact.

Conversation introduces more ways to misunderstand a request. Check recognition, approved answers, transfers and fallback behaviour with real calls before putting an assistant in front of customers.

Compare the job, not the label.

You can use more than one.

A business might ring the team first, use a short menu during the day and take a voicemail when closed. An AI assistant could cover a narrow out-of-hours task once it has been tested. Keep a straightforward fallback whichever combination you choose.

Xtra currently supports receptionist setup and text-based previews. Live AI voice answering is not enabled yet. Use the demo to explore the controls, then agree any live trial and its acceptance checks with our team.

Common questions.

Is AI answering always better than voicemail?
No. If callers simply need to leave a message and your team follows up promptly, voicemail may be sufficient. Conversational answering is useful only when it improves a specific task and has been tested.
Can I leave human answering in place?
Yes. The team can remain the main destination, with a separate fallback for busy periods or closed hours.
