Call handling

Send business calls to the right people.

Call routing decides what happens after a customer dials your business number. A useful route gives your team time to answer and gives the caller a clear next step when nobody can.

  • Opening and closed hours
  • Ring teams and queues
  • A fallback when nobody answers

Start with opening hours.

Choose your weekly opening hours and the days when the business is closed. Add holiday and one-off closures separately so a normal Monday rule does not send callers to an empty office.

During opening hours, a number can ring one person, a ring team or a queue. Outside those hours, a greeting can explain that the business is closed and direct the caller to voicemail or another agreed destination.

Ring teams and queues do different jobs.

A ring team calls several people together. It suits a shared enquiries number where anyone in the group can answer. Decide which people belong in it and how long their phones should ring.

A queue holds callers while the team is busy. Set a maximum wait and an overflow destination rather than leaving the customer waiting indefinitely. Choose a greeting or hold music that explains what is happening.

Example: enquiries during a working day.

A customer calls on Tuesday at 14:12. The Sales team rings for 20 seconds. If nobody answers, the caller waits in a queue for up to 60 seconds, then reaches voicemail. At 18:00 the same number plays a closed-hours message before voicemail.

Try the day, time and holiday controls in the homepage example. In the demo portal, explore how the weekly schedule and fallback destinations fit together.

Check what a real caller hears.

Saving a setting is different from confirming a working phone route. Xtra shows pending changes until the phone system acknowledges them. Live carrier routing still needs acceptance testing during setup.

  • Call during opening hours and answer on each intended device.
  • Let the phones ring out and check the overflow destination.
  • Test the closed-hours greeting and voicemail.
  • Check a holiday closure separately from the weekly schedule.
  • After any change, confirm the phone system has applied it and place a test call.

Common questions.

Can several people answer one business number?
Yes, a ring team can send the same incoming call to several configured extensions. Confirm which devices should ring and what happens if nobody answers.
Can an AI receptionist be part of the route?
It can be a future destination when a live voice service is connected and tested. Xtra currently offers AI setup and text preview; live AI telephone answering is not yet enabled.
